Pilot terms and privacy

1. What the Pilot is
The TrustSubs Pilot is a free test for invited businesses. Results can be wrong, so please check every amount against its source and tell us what looks off. TrustSubs is not financial, tax or legal advice. We may change or end the Pilot, and we will tell you by email.
2. What we read
If you upload documents (invoices, bank or card statements, accounting exports, PDF, CSV or Excel), we read those documents. If you choose email scanning, you connect your Gmail with read-only access. We search for billing words such as invoice, receipt, bill, renewal and payment, and we read only the emails that match. We cannot send, delete or change anything in your mailbox. You can disconnect Gmail at any time in Settings. During the Pilot Google shows a notice that the app is not verified and asks you to reconnect about once a week. This is expected.
3. What we do with it
We find the subscriptions and recurring bills in what we read and show you the monthly cost, with the source for every number. Where we have a public price on file, we compare it with what you pay. When we are confident about an item we add it for you and mark it "Added automatically"; you can undo it. Other items wait for your OK. You can correct or remove anything.
4. AI and sensitive lines
To read documents we send their text to a third-party AI service (OpenAI). We mask account numbers first. Statement lines that look like health, legal, gambling, charity, government or bank-transfer items are not sent to the AI, and neither are emails from billing services for adult content. We do not use your data to train models of our own.
5. What we keep
We keep the subscriptions we found, their amounts, vendor names and the short evidence needed to show you why, until you delete them or your account. Technical scan details that show sender names are visible only to testers and administrators and are deleted after 7 days.
6. Your controls
You can delete an item (you have 30 days to restore it), ignore a vendor, remove a document, and disconnect Gmail. To access, correct or delete your information, or to close your account, email juan@thinkaiconsulting.ca. We will do it and confirm by email.
7. Who can see your data
You, and TrustSubs administrators for support and security. We do not sell your data and we do not show ads.
8. Where it is processed
Early access runs on US providers, so your data is processed outside Canada. The providers are: our hosting platform (Emergent), its database, OpenAI (reading documents), Google (sign-in and Gmail access, only if you choose email scanning) and our email delivery service. Payments are switched off during the Pilot and we do not collect card details. Data is encrypted in transit and at rest.
9. Canadian privacy
We handle personal information under the principles of Canada's PIPEDA: consent, limited use, safeguards, and your right to access and correct it. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
10. Emails
We email you about the Pilot because you were invited or you signed up. To stop, reply "unsubscribe".
